AI for distributors: orders and stock in 2027

By Abdulloh Akhmedov, Founder & CEO, Renvel AI · Published · 4 min read

How distributors use AI agents to take orders, plan stock and draft purchase orders. Which tools exist, what they cost, and how to start in 7 days.

Short answer: distributors get the most from AI in four jobs: entering orders that arrive by email and chat, forecasting stock, drafting purchase orders, and checking supplier invoices. A person approves each one. You don't need a new ERP. One agent on one job can be live in about 7 days.

Why distributors feel this first

Distribution runs on many small, repeated steps. Most of them still happen by hand.

A founder selling to procurement teams put it simply: "You'd be surprised how much of it ran on emails, spreadsheets, and phone calls" (2 Nov 2026).

We've seen the same thing inside distributors. Orders come in on WhatsApp. Someone types each one into the system. Stock lives in a spreadsheet. Each handoff adds a small error.

Four jobs AI agents can take today

Job What the agent does What a person approves What it saves
Order entry Reads orders from email, chat, photos or voice notes; fills them in your system; marks unsure lines The order before it's confirmed Typing time and wrong codes
Stock forecast Reads sales, stock and open orders each morning; forecasts what will run low Nothing; it's a report Surprise stock-outs
Purchase order drafts Drafts the order to each supplier from the forecast The order before it goes out Buyer time; overbuying
Invoice checks Compares each supplier invoice with the order and the delivery; drafts a credit request Each mismatch and email Money paid for wrong lines

Our rule for stock: the agent does the math, the buyer makes the call. Never run out. Never overbuy.

How to choose:

  • If stock planning is your only pain and you want your team to run the software, look at a planning tool. Netstock and Slimstock are two.
  • If you sell food or parts and have one main job, look at a tool built for your niche. Asakana and Lark are two.
  • If you have several jobs (orders, stock, invoices, reports) and want them set up for you, that's what Renvel does.

How order entry works with an agent

  1. A customer sends an order. It can be text, a photo of a paper list, a voice note or an email.
  2. The agent reads it and matches each line to your product list. Customers use their own names for products, so the agent keeps a match table.
  3. It fills the order in your system, with prices from your price list.
  4. Each line gets a mark: confirmed, missing or check.
  5. A person looks at the order. Most lines are confirmed. They fix the odd ones and approve.
  6. Each fix becomes a rule. Next time, the agent knows.

The customer keeps ordering the way they always have. Your team stops typing.

How stock planning works with an agent

  1. Every morning the agent reads sales, stock on hand and open orders.
  2. It forecasts which products will run low before the next delivery.
  3. It drafts a purchase order for each supplier, with the reason for each line.
  4. A buyer reviews it, changes what they want and approves.
  5. The agent sends the order and tracks the confirmation.

We use "forecast" on purpose. Nobody knows the future. A good forecast shows its reasons, so the buyer can disagree.

Where to start

Pick the job that costs the most hours today. For most distributors, it's order entry.

Then:

  • Week 1: the order agent runs on real orders, with every order approved.
  • Week 2: connect stock and open orders.
  • Week 3: add purchase order drafts and invoice checks.
  • Week 4: compare the hours and errors with day 1.

What to watch out for

  • Product names that don't match. The same product can have five names across your files. Fix this with one match table for the first job.
  • Exceptions. Special prices, rush orders, new customers. Plan for them on day 1.
  • Too much at once. Don't connect every system before the first job works.
  • Tools that need your customers to change. They rarely will.

Questions people ask

How can a distributor use AI?
The big wins are orders from email and chat, stock forecasts, draft orders to suppliers, and invoice checks. A person says yes to each one.
Do I need a new ERP to use AI?
No. AI agents can work on top of the system you have, reading from it and writing to it with approval.
What is the best AI tool for distributors?
It depends on the job. Planning tools like Netstock and Slimstock focus on stock. New tools like Lark and Asakana focus on orders. Renvel sets up agents across orders, stock and reports.
Can AI place purchase orders on its own?
It can, but most distributors start with drafts. The agent forecasts what will run low and drafts the order. A buyer checks it and approves.
How much does AI for a distributor cost?
Planning tools for small distributors start around $900 a month (Netstock). Renvel's First Agent is $4,900 for one job, and the full setup is $25K plus $5K a month.
How long does it take to start?
One agent on one job, like order entry, can be live in about 7 days. A full setup across orders, stock and reports takes about 30.
What data does it need?
For orders: your product list, price list and customer list. For stock: sales history, stock levels and open orders. Nothing more to start.
